Signature Events Coordinator

In the absence of any federal or provincial government funding, the GTHS organizes multiple events annually to raise much-needed funds to support our programs and services. Our ‘signature’ events planned for 2024 are: Furball Gala, Curl for Pets, Golf for Pets, Ski for Pets and Walk for Pets.

In 2023, as a result of our programs and services, more than 1500 homeless cats and dogs were provided shelter and 1300 animals found their forever home, 4000 youth were positively impacted, approximately 3000 spay/neuter/dental/specialized surgeries were performed, 2784 donors supported our mission and 1000 pets were supported through our Pet Pantry program.

Description
This volunteer role is vital to the success of our events and fundraising efforts. The Signature Events Coordinator assists with event planning and logistics, and provides crucial support to the Annual Fund Manager. This dynamic partnership ensures a unified approach to fundraising efforts. The Coordinator’s input is highly valued as a sounding board and a consulted resource in key decisions. This position is intentionally designed to be highly flexible, allowing tasks (see below) to be tailored to individual availability and preferences. While event attendance is encouraged, it is not mandatory.
Time Commitment
This volunteer position is designed to be very part-time and accommodating of personal schedules. Your contributions, no matter how small, are highly appreciated and integral to our mission’s success.
Roles and Responsibilities
  • Tailor tasks* to individual availability and preferences, ensuring a comfortable commitment level.
  • Manage a flexible schedule to complete assigned tasks* efficiently and effectively.
  • Provide valuable support to the Annual Fund Manager, allowing them to focus on fundraising efforts.
  • Act as a sounding board and consulted resource in key decisions related to fundraising events.

  • Registration Management Support
    • Assist in overseeing event registration lists, ensuring accuracy and timelines
  • Critical Path Support
    • Aid in creation and updating of event timelines for seamless execution
  • Menu Planning Support
    • Assist in selecting food options for an exceptional guest experience
  • Guest List Curation Support
    • Help curate guest lists and manage RSVPs for each event
  • Volunteer Coordination Support
    • Assist in coordinating volunteer schedules and tracking hours for smooth event operations
  • Stewardship Support
    • Provide post-event follow-up and gratitude to donors and attendees
  • Seating Plans Support
    • Contribute to developing seating arrangements to optimize guest experience
  • Sponsor Deliverables Support
    • Assist in tracking and inputting sponsor data for proper recognition and benefits
  • Social Media Scheduling
    • Schedule content to promote events on various platforms
  • Adoptable Dog Pop-Ups Coordination
    • Support in organizing events featuring adoptable dogs, creating heartwarming experiences for attendees
